Mepco has been transformed into two new companies under the Accountor name

Mepco Oy has become two companies, each focusing on its own area of solid expertise: Accountor Enterprise Solutions Oy and Accountor HR Solutions Oy.

From 1 January 2017 onward, Mepco Oy’s operations are being handled by two new companies.

Established in 2003, Mepco has enjoyed profitable growth from day 1 and has helped nearly a thousand organisations to develop, expand, and serve their customers and other stakeholders more efficiently. Both Accountor Enterprise Solutions and Accountor HR Solutions are part of Accountor Group’s software division, which is composed of thriving companies that specialise in digitalisation of business operations and public-sector services. These companies receive support from the international Accountor Group.

‘We decided to separate the operations into two companies because this enables Accountor Enterprise and Accountor HR to offer services to all enterprises and every organisation in an agile manner. By focusing on our key areas of expertise, we can offer faster solution deliveries and even better service to our customers. This will also give us a competitive edge,’ explains Markku Pekkola, Executive Vice-President for the Accountor Group Software Division.

Bringing extensive process expertise to the table, the 120-strong Accountor Enterprise Solutions will focus on offering solutions based on global business platforms. Its core expertise covers sales and marketing, customer service, enterprise resource planning, financial administration, management by information, and innovation in business (including models of operation). Eero Noroviita, who was at the helm of Mepco in 2016, is now the managing director of Accountor Enterprise Solutions Oy.

Saarioinen’s day-to-day operations have become easier with a new HRM system

With its tasty food of high quality, Saarioinen makes everyday life that little bit easier for consumers in Finland. Now life has become a little easier for Saarioinen’s staff too, thanks to HRM software from Mepco.

Saarioinen employs around 1,300 people. Such a number of employees results in a huge quantity of information to be stored in various systems. To streamline this process, Saarioinen wanted to implement a system that enables it to store all this information in one location.

‘Before, all the information was scattered around, in a number of systems. This rendered many day-to-day tasks time-consuming. We wanted to change this situation,’ explains Saarioinen’s Production Manager Anu Lempinen.

According to Saarioinen’s Director of HR and Administration Tero Tuominiemi, updating the system was called for also because the old product in use was coming to the end of its service life. ‘We want to make sure that we have the best tools and systems in place in our HR management,’ says Tuominiemi.

The overall package coupled with experience tipped the scales

After exploring the options available, Saarioinen opted for Mepco as its partner. Both Tuominiemi and Lempinen have a clear idea of the characteristics that make for a good partner in projects related to HRM systems and processes. ‘We’ll be the ones using the system, which is why our partner should listen to our needs. Another key factor is that the service should be developed in line with our wishes also in the future,’ says Tuominiemi.

Experience of similar projects lends the partner additional credibility. ‘The partner having prior experience of the system and knowing how it has worked elsewhere can help to tip the scales,’ he says. Mepco met Saarioinen’s expectations also with regard to these factors. Mepco HRM is a product of Mepco’s in-house development work, and the company continuously updates the software package. All this provides the company with a wealth of experience and insight related to the product and its use. ‘The main goal was to have all the staff information in one system. We looked into various solutions on the market. The package offered by Mepco came out on top.’ In addition to the HRM system, Saarioinen has implemented modules for recruitment, payroll, and travel-expense processes. ‘This all-inclusive package eliminates the need to have several systems in use. That was the deal-maker,’ Tuominiemi comments.

 

The implementation process passed the test with flying colours

The implementation of new software is a long process with several steps, involving migrating from the old system and procedures while training the staff in the use of the new program. Lempinen gives the process a score of 9+ on a scale of 4 to 10. The new system has been easy to learn to use. ‘The entire implementation process went smoothly. As in any process, there were a couple of hiccups along the way, but those were quickly fixed. The project was completed successfully and on schedule,’ says Tuominiemi, clearly happy with the situation. According to him, the new system has had a positive effect on supervisors’ work. ‘Thanks to the new system, our supervisors’ day-to-day tasks have become easier. In this, the usability of the system is the be-all and end-all. Now we have one location where we can find all the necessary information. The system is much more user-friendly,’ says Lempinen, who also acts a supervisor herself.

R-kioski has switched to one-stop payroll services

R-kioski selected Mepco HRM as its centralised payroll and human resource management solution

A popular franchising chain, R-kioski calculates and handles wages for nearly 600 kiosks each month. The kiosks are franchisee-run small businesses employing 3–4 people each. This translates to more than 2,000 wage packets to be calculated each month. According to R-kioski’s HR Director Maria Sjöroos, building of the new centralised payroll and human resource management system was spurred by the sale of the company to Reitan Group in 2012.

‘Before that, around 40% of the kiosks were run by franchise-owners, who handled the payroll calculations independently. Payroll management for the other kiosks had been outsourced to a collaboration partner. Under the new owner, the goal was to change all the kiosks into franchises and transfer the payroll and human resource management tasks to the company’s support organisation to run, in accordance with the new franchising agreement,’ explains Sjöroos.

Mepco HRM as a starting point for new recruitment in administration

The most suitable system had already been selected with the company’s partner in payroll calculation: ’Mepco HRM comes with good tools for both the payroll managers and R-kioski’s 100-strong support team,’ explains Sjöroos. Centralised payroll management was the goal from the word ‘go’, and that goal was easy to reach because the company could continue working with the same Mepco system.

The centralised model was piloted with the assistance of the payroll calculation partner. By autumn 2013, with positive experiences having accumulated from 50 kiosks, R-kioski decided to switch to the centralised payroll management model. To run the system, the company needed to hire new staff for its payroll management team.

In spring 2014, R-kioski found an experienced Mepco HRM expert to head that team, enabling a rapid switch to the new system. Without in-house system expertise, the company would have needed more assistance from Mepco’s consultants.

‘Having expertise in both the system and the business sector is crucial, as the system is only as good as the person using it,’ says Sjöroos.

‘Besides the team leader, R-kioski’s payroll management team now includes nine payroll clerks who can devote their full working time to R-kiosk franchise-owners since they don’t have other clients. We were happy with our previous partner, but having in-house payroll staff means that the operations are now even closer to the franchise-owners,’ says Sjöroos in praise of the team.

R-kioski’s Mepco HRM agreement is transaction-based. This means that no licence fee is charged; instead, invoicing is based on use – for example, the number of workers whose wages are calculated. This way, the service adapts to actual use.

 

Centralisation for greater efficiency and flexibility

Not only is the centralised payroll management system more cost-efficient, but it also enables franchise-owners to obtain services more rapidly. The next step is to implement an HR management system for R-kioski’s support organisation. ‘I’m sure it’ll save both paper and time,’ Sjöroos says of the benefits from streamlining paperwork.

Sjöroos praises Mepco’s system for its flexibility: functions can be added when necessary. With a decade of experience of working with Mepco, Sjöroos appreciates the company’s active and customer-oriented software development. ‘Also, the training arranged by Mepco for its clients is a real bonus,’ she says.

‘For any franchising company looking to centralise its payroll management, I can warmly recommend Mepco HRM. Of course, the program also lends itself to the needs of large corporations and accounting firms, which need to calculate the wages for several companies,’ says Sjöroos.

Are Oy´s new HRM system makes suprervisors´work easier

When deciding to implement a new HRM system, Are Oy wanted to involve the end users in the project. After all, the goal was to have a system that would offer them the best possible support.

‘One of the main goals for the project was to make our supervisors’ work easier. And we reached that goal,’ HRD manager Päivi Lyly said in a customer reference piece published last week.

 

The challenges posed by working with numerous collective agreements

Are Oy operates in the building engineering and property management sector, which means that the company’s supervisors have to take into account the numerous collective agreements applied in this field. Every team in the company is likely to have employees whose tasks fall under several separate collective agreements, and the supervisor must deal with all of these.

‘Several collective agreements are applied to our operations,’ explains Urpo Lindroth, customer-service manager at Are Oy, continuing: ‘We have building service engineers, property engineers, and electricians, and all of these jobs is subject to its own distinct collective agreement. Therefore, matters related to, for example, wages can be difficult for the supervisor to handle.’

With these challenges in mind, the goal was to create a system that was as easy to use as possible. The program allows a supervisor to select the appropriate collective agreement, limiting the options offered by the system to those that are in line with the terms of the agreement in question. The supervisor doesn’t have to double-check every detail separately.

 

A user-friendly system

When talking about the system, many of the supervisors mention its user-friendliness. For example, service manager Erkki Vuorio says: ‘The system is simple and easy to use. The commissioning process in particular went extremely smoothly.’

‘The system is really user-friendly,’ says Urpo Lindroth, agreeing wholeheartedly with his colleague. He explains: ‘Over the years, I’ve gained experience of a number of programs, and this is among the easiest to use. All you need to do is start at the top and fill in every field. You can’t go wrong.’

Nonetheless, the users were not expected to master the new software without assistance, and everybody was given the opportunity to attend training. ‘Are’s training was brilliant. It was easy to follow, and we went through things in depth and did training exercises. The course provided us with the skills required to work efficiently with Mepco,’ says Lindroth.

 

Holidays and absences at a single glance

How does the system work in practice? This is what the supervisors had to say…

‘I can see directly from the system’s main view whether my subordinates are at work or on holiday. This makes things easier, particularly during the summer holiday season. You can also use functionality that allows you to view information on a colleague’s subordinates when that supervisor isn’t at work. You don’t have to try to remember it all yourself, and that can only be a good thing,’ comments Vuorio.

‘I can view information on each of my subordinates in the system. This enables me to manage the employment relationship from start to finish. I can also check everybody’s holidays and other absences in the system. It’s a handy tool,’ says Lindroth.

‘The system works as planned, and I think that’s the best feedback you can give on a tool like this,’ Vuorio adds.
